This controlled flexibility matters in environments with frequent staff changes, shift patterns or external visitors. It can also help organisations demonstrate that access is being actively managed, rather than relying on a historic key register that becomes less reliable with every personnel change.

The operational benefits go beyond replacing keys

Mechanical master key systems remain appropriate in some lower-risk applications, and they can provide a dependable fallback within a layered security plan. However, they have an unavoidable limitation: once a key is issued, access control is largely physical. Recovering a key is dependent on the holder returning it, while responding to a lost key may require locks to be re-pinned or replaced.

SALTO locks allow permissions to be managed at a system level. Access can be added, adjusted or removed far more efficiently than rekeying multiple doors. For organisations with large estates, this can reduce the time spent administering keys and responding to routine changes such as new starters, leavers, departmental moves and contractor appointments.

Choosing the right SALTO architecture

Authorised administrators can manage users and permissions from a central platform, reducing dependence on a single local workstation and improving consistency across the estate. This does not remove the need for defined procedures. It makes those procedures easier to apply at scale.

There are trade-offs. A fully online solution may offer more immediate visibility but involve greater infrastructure planning. A wire-free deployment can reduce installation disruption, but the system design must account for credential update methods, battery management and the operational expectations for each door. Security decisions should be based on risk and use case, not on the assumption that one technology fits every opening.

Designing SALTO locks around the door, not just the software

Access control performance depends on the physical door as much as the credential or management platform. Door material, frame condition, fire rating, escape requirements, traffic levels, handing, locking function and external exposure all affect the specification. A lock that is technically compatible may still be unsuitable if it compromises fire-door performance, creates poor user experience or is not designed for the expected duty cycle.

This is why a proper survey is essential before selecting hardware. A busy staff entrance needs a different solution from a rarely used archive room. External gates and exposed doors may require a different approach from internal office openings. On escape routes, access control must support safe egress and comply with the relevant life-safety requirements.

The most effective projects also consider adjacent systems from the outset. A forced-door event, for instance, is more meaningful when security teams can correlate access information with camera footage and alarm activity.

This joined-up approach provides stronger protection without placing unnecessary controls on every part of a site.

Installation and commissioning determine long-term value

The quality of installation has a direct bearing on reliability, security and user confidence. Correct lock preparation, careful fitting, tested door operation and accurate programming are all essential. Small issues such as poor alignment, unsuitable door furniture or an incorrectly set closing device can create avoidable faults and encourage users to bypass security controls.

Commissioning should confirm more than whether a door opens with a valid credential. It should test access groups, time schedules, emergency arrangements, door states, audit requirements and the management process for lost credentials. Administrators need clear ownership of user creation, permission changes and periodic access reviews.

For larger or phased installations, a controlled rollout helps protect business continuity. Pilot areas can identify issues with credentials, traffic patterns or operational rules before the approach is replicated across a wider estate. Training should be practical and specific to the people who will manage the system, not limited to a generic handover session.

Keeping access control effective after handover

Electronic access control is not a fit-and-forget investment. Doors are used every day, staff move roles, sites change layout and security risks evolve. Regular permission reviews are particularly important. Temporary contractor access should not become permanent by default, and former employees should not retain active credentials because an offboarding task was missed. Organisations should also retain a proportionate contingency plan. This may cover power or network disruption, emergency access, replacement credentials and escalation routes for critical doors. Resilience is not achieved by assuming technology will never fail; it comes from understanding how the site will operate safely when an exception occurs.
